Every month, thousands of Indian businesses make the same mistakes — wrong PF deductions, missed ESI filings, incorrect TDS calculations. The result is not just a fine. It is a notice, an audit, or an employee dispute that takes weeks to resolve and damages trust you spent years building.

The stakes are real: A PF filing error for 50 employees can result in damages of up to 25% of the arrears — on top of 12% annual interest. A missed TDS deposit triggers 1.5% per month in interest plus penalties under Section 271C. EPFO and the Income Tax department are actively sending notices to non-compliant businesses.

The problem is not that HR teams are careless. It is that PF, ESI, TDS and PT each have their own rules, thresholds, deadlines and edge cases — and managing all four in a spreadsheet every month, for every employee, is simply not sustainable.

Why Compliance Errors Happen in the First Place

Most payroll errors trace back to three root causes that are entirely predictable — and entirely avoidable with the right system.

1. Wrong salary components in the base calculation

PF is calculated on basic salary and dearness allowance — not gross. ESI is on gross salary up to the threshold. TDS is on taxable income after deductions. If your salary structure mixes these up, every downstream figure is wrong before you even start.

2. Threshold changes not tracked automatically

An employee earning ₹20,500 gross is covered under ESI. Give them a ₹600 increment — they are now at ₹21,100 and exempt from the next contribution period. If no system flags this, you keep deducting ESI from someone who should not be covered. When they find out, you have a dispute, a refund request, and an audit trail problem.

3. Spreadsheets with no validation layer

A copy-paste error, a formula referencing the wrong column, a row accidentally deleted — and thirty employees get incorrect deductions. You will not find out until they call HR, or until the statutory portal rejects the challan. By then, the 15th has passed.

Compliance Deadlines — The Dates That Matter

Missing these dates is where the real cost begins. Wrong calculations are bad. Late filings turn bad into expensive.

⚠️ March is the most dangerous month. TDS for March is due by 30th April — not the 7th. Year-end salary revisions, arrears, and bonus payouts make TDS recalculation genuinely complex. Most manual errors happen in February and March.

How to Calculate PF Correctly

Provident Fund is governed by the Employees' Provident Funds and Miscellaneous Provisions Act, 1952. Here is what you actually need to get right:

ComponentRateCalculated OnWho Bears It
Employee PF contribution12%Basic + DADeducted from employee
Employer EPF contribution3.67%Basic + DAEmployer cost
Employer EPS contribution8.33%Basic + DA (max ₹15,000)Employer cost
EDLI + Admin charges0.50%Basic + DAEmployer cost

The rules most businesses get wrong:

Quick example: Employee basic ₹12,000/month. Employee contributes ₹1,440 (12%). Employer contributes ₹441 to EPF (3.67%) + ₹999 to EPS (8.33%) + ₹60 admin. Total employer PF cost: ₹1,500/month — on top of the gross salary.

How to Calculate ESI Correctly

ESI applies to any establishment with 10 or more employees where any employee earns ₹21,000 gross or less per month (₹25,000 for employees with disability).

WhoRateOn WhatNote
Employer3.25%Gross salaryOn total gross, not just basic
Employee0.75%Gross salaryDeducted from employee

How to Calculate TDS on Salary

TDS on salary under Section 192 is the most complex — it depends on each employee's total estimated annual income, the tax regime they have chosen, and any declared deductions.

New Tax Regime (default from FY 2024-25)

Annual Income SlabTax Rate
Up to ₹3,00,000Nil
₹3,00,001 – ₹7,00,0005%
₹7,00,001 – ₹10,00,00010%
₹10,00,001 – ₹12,00,00015%
₹12,00,001 – ₹15,00,00020%
Above ₹15,00,00030%

Standard deduction of ₹75,000 is available under the new regime — meaning an employee earning up to ₹12,75,000 per annum effectively pays zero tax after the rebate under Section 87A.

How employers calculate and deduct TDS each month:

Step 1

Estimate the employee's total taxable income for the year at the start of the financial year

Step 2

Apply standard deduction (₹75,000) and any other declared deductions

Step 3

Calculate total annual tax liability on net taxable income using applicable slabs

Step 4

Divide by 12 and deduct that amount from salary every month

Step 5

Recalculate in January if salary changed, bonus paid, or fresh investment declarations submitted

⚠️ The January recalculation is where most errors happen. If a hike was given in November but TDS was not recalculated, the shortfall piles into January–March — resulting in a sudden large deduction the employee was not expecting. This generates HR tickets and trust issues every year-end.

Professional Tax — The One Most Businesses Forget

Professional Tax is levied by state governments. Not all states have it, every state that does has different slabs — and it is easy to miss when you expand to a new state.

StateMonthly SalaryPT AmountFiling
Maharashtra₹7,500 – ₹10,000₹175/monthMonthly
Above ₹10,000₹200/month (₹300 in Feb)
Karnataka₹15,000 – ₹24,999₹150/monthMonthly
₹25,000 and above₹200/month
West Bengal₹10,000 – ₹15,000₹110/monthMonthly
Above ₹40,000₹200/month
Tamil NaduAbove ₹21,000₹208/monthMonthly
GujaratAbove ₹12,000₹200/monthMonthly
Professional Tax is easy to forget precisely because the amounts seem small. But non-compliance — especially not registering your business in a new state — attracts penalties that are many times the tax amount itself.

Manual Calculation vs Automation — What It Actually Costs

Here is what manual payroll compliance costs a 50-person Indian business every month:

TaskManual (per month)With InfowanHR
PF calculation + ECR challan3–4 hoursAuto-generated
ESI calculation + challan2–3 hoursAuto-generated
TDS calculation per employee4–6 hoursAuto-calculated
PT deduction by state1–2 hoursAuto-applied
Mid-year TDS recalculation2–3 hoursTriggered on update
Error correction + re-filingUnpredictableNear zero
Total HR hours saved—12–18 hrs/month

That is 144–216 hours per year — the equivalent of one full month of an HR executive's working time, spent entirely on calculations that software should be doing. One statutory notice handled externally can cost ₹15,000–₹50,000 in CA fees alone.

Frequently Asked Questions

Is PF mandatory for all employees?
PF is mandatory for employees earning basic salary up to ₹15,000 per month in EPF-covered establishments. Employees above this threshold can opt in voluntarily. New employees joining an EPF-registered establishment for the very first time are covered regardless of salary — even if their basic is ₹50,000.
What happens if PF or ESI is deposited late?
Late PF deposits attract interest at 12% per annum plus damages under Section 14B ranging from 5% (delay up to 2 months) to 25% (delay beyond 6 months). ESI attracts 12% per annum interest plus penalties. Both can result in prosecution in persistent cases.
Can an employee opt out of ESI?
No. ESI is mandatory for all employees earning ₹21,000 or less per month in establishments with 10 or more employees. Neither the employer nor the employee can opt out. Coverage ends only if gross salary consistently exceeds ₹21,000 across a full contribution period.
Does InfowanHR handle TDS for both old and new tax regimes?
Yes. Each employee declares their preferred regime at the start of the year. InfowanHR calculates TDS accordingly — new regime slabs directly, or old regime slabs with declared deductions (80C, HRA, LTA, etc.) for employees who opt for the old regime.
How does InfowanHR handle mid-year salary revisions for TDS?
When a salary revision is entered, InfowanHR automatically recalculates the annual tax liability and redistributes the remaining deduction across the balance months — no manual recalculation, no January surprise for the employee.
What if we have employees in multiple states with different PT rules?
InfowanHR supports Professional Tax for all PT-applicable states in India. Each employee's PT deduction is calculated based on their registered state and slab — automatically updated if an employee transfers to a different state.
